HOW IT WORKS

A fundraiser, not a bake-off.

Each participating youth organization — 4-H clubs, FFA chapters, Boy Scouts, Girl Scouts, FCCLA chapters, and Boys & Girls Clubs — registers one item to sell in the live auction. Proceeds go directly to the youth organization for their service work. Get out and rally your buyers — the louder the auction, the better the cause.
FOUR STEPS

From entry to auction

Register Online
Submit your entry by July 10, 2026 through the BCYF website.

Get Your Number
Receive your line-up number by July 17. Use it to advertise to buyers.

Check In
Arrive at 4:30 PM on auction day on the carnival side of the Show Arena.

Present & Sell
Two members present your item to the crowd. Highest bidder wins. Proceeds go to your org.
RULES OF ENTRY

What you can enter

Eligibility
Must be a participating organization of the Berkeley County Youth Fair.

One Item Per Organization
Each participating youth organization sells one item, one time. Items will not be re-sold during the auction.

Baked Item Definition
Cake, pie, bread, rolls, cookies, or candy — but contained as ONE item. Themed baskets are ideal but must include baked or homemade food.

Maximum Size
Item must not exceed 20" L × 20" H × 20" W. Members must be able to safely carry it around the ring.
🏷️
Ingredient Label Required
Every entry needs an ingredient label attached, plus the name of your organization. Items must be baked by members and parents of your club, chapter, or organization.

Display Requirements
Items must be on a non-returnable plate or container, attractively displayed, covered, and visible.
★ ITEMS THAT WILL BE TURNED AWAY
No refrigerated items. If your item requires refrigeration, you'll be turned away. Items must be one contained piece — multiple separate items will not be accepted. All items must be edible and properly labeled.
AT THE AUCTION

The presentation matters.

At least two members are required to present each item. One introduces the organization and explains the cause. The others walk the item around the ring so buyers can see it. Keep it brief — and make it count.
  • Introduce your organization. Who you are, what your club, chapter, or troop does in the community.
  • Describe your item. Brief — what's in it, what's special about it.
  • Share who's present. Members, leaders, advisors who came out.
  • Explain how proceeds will be used. Buyers want to know where their money is going.

100% of auction proceeds go to the participating youth organization for their service work.

Buyers make checks payable to Berkeley County Youth Fair. Payment is required at the end of the auction.

Checks are issued to organization advisors after all fair accounts are settled.

Use your line-up number to advertise to potential buyers ahead of the auction. The bigger the crowd, the bigger the impact.
